1 About This Service
Ready2Rent is a tenant pre-vetting service operated by Ready 2 Rent ("we", "us", "our"), registered in the Isle of Man at Rheast-Twoaie, Ballacorey Road, Bride, Isle of Man, IM7 4AW. It allows prospective tenants to submit a pre-vetting application — including identity documents, financial records, and contact references — which is reviewed by our verification team on behalf of participating landlords and letting agents.
2 Eligibility
You must be 18 or over and applying for residential tenancy on the Isle of Man to use this service. By submitting an application you confirm this is the case.
3 What You're Submitting
Your application asks you to provide:
- Personal identity documents (passport, driving licence, or equivalent)
- Proof of current address
- Bank statements (last 3 months)
- Payslips or equivalent proof of income
- Contact details for an employer, landlord, and/or character referees
- Optionally, a Basic DBS certificate
By submitting, you confirm that all information and documents provided are genuine, accurate, and relate to you.
Providing false, forged, or misleading documents is a serious matter and may be referred to the appropriate authorities.
4 How Your Documents Are Reviewed
Your documents are reviewed by the Ready2Rent verification team. Where a payslip or bank statement cannot be read automatically, a member of our team may use AI-assisted extraction to read the figures on it — see our Privacy Policy for detail on how this works. No automated decision is made about your suitability as a tenant — the purpose of this service is to compile and verify your supporting documentation. Any tenancy decision rests solely with the landlord or agent you choose to share your passport with.
Where we offer an estimated affordable rent range based on your payslips, this figure is calculated using an automated, industry-standard income-multiple method and is reviewed by our team before being shown. This is not financial advice and does not constitute a recommendation to let, or not let, a property to you — it is indicative only, and the final tenancy decision remains with the landlord or agent.
If a document you submit is unclear, incorrect, or otherwise cannot be verified, we will ask you to replace it via your applicant portal. Your first 2 document replacements are free of charge. The 3rd and any subsequent replacement incurs a processing fee of £1.99, payable securely before the replacement is accepted.
5 Landlords
Ready2Rent also offers a separate service allowing a landlord or letting agent ("a landlord") to purchase credits and use them to request a verification check on a prospective tenant for a specific property.
- The prospective tenant receives an email invitation and must independently accept it and provide their own consent before any verification begins.
- The tenant's documents and references are reviewed by our team in exactly the same way as a self-submitted application, and are handled on the same basis under this Notice regardless of who requested the check.
- While a check is in progress, the requesting landlord can see only progress information (for example, whether documents and references have been received, and a general rent-affordability indicator) — never the underlying documents, referee identities, or figures.
- A completed check's full report is released to the requesting landlord only once the tenant separately and explicitly consents to release it.
- Either the landlord or the tenant may withdraw a request before it completes. A landlord may also mark a completed check as "fallen through" if the tenancy does not proceed. In both cases, 50% of the credits spent (rounded down) are refunded to the landlord as new credits. A request that simply does not reach completion is not refunded.
- Purchased credit packs expire 1 year after purchase.
A landlord using this service must register an account and provide their own name and personal or business address, and is bound by these terms in that capacity in addition to any tenant using the service directly.
6 Referee Contacts
By providing the contact details of referees (employer, landlord, character references), you confirm you have their permission for us to contact them by email for the purpose of this reference check. Referee email addresses are used only to send a single reference request and are not retained beyond your passport's expiry date.
Character references are considered current for 180 days from the date of your original submission. If your passport remains active beyond this point, we will contact you to arrange updated character references to ensure the information we hold remains accurate and current.
As part of confirming your identity, a cropped photograph taken during your application may be shared with your referees — but only after a member of our team has manually confirmed it matches your submitted photo ID. This is used solely to ask your referee to confirm that the person pictured is the person named in the reference request, and is not used for any other purpose or shared any further.
7 Data Retention
Your documents and application data are held for a minimum of 90 days from the date of submission. Your passport can be extended beyond this initial period at any time by submitting updated financial documents and paying the applicable extension fee (£5 for 30 days, or £10 for 90 days). Extensions require our team to review the updated documents before the extra time is added — until approved, your existing expiry date still applies. All documents are automatically and permanently deleted when your passport expires — whether at the end of the initial 90-day period or at the end of any extension.
You will receive reminder emails in the days leading up to expiry. You may request early deletion at any time by contacting us (see Section 12). Early deletion is irreversible.
Where updated documents are submitted as part of an extension, all versions of those documents are retained until your passport expires. To ensure your documents remain current, extensions are limited to a combined total of 270 days of retention from your original submission date; a fresh application is required after this point if verification is still needed.
Extension fees are non-refundable once document review has commenced, or once any referee has been re-contacted in connection with the extension. A full refund is available only where neither of these has occurred within 7 days of payment. Refund requests should be sent to the contact address in Section 12.
8 Security
Documents are encrypted using AES-256-GCM encryption at rest and transmitted over TLS-encrypted connections. Access to your documents is restricted to authorised members of the Ready2Rent verification team.
Where you choose to generate and share a Ready2Rent passport link (see Section 9), the information contained in that passport becomes accessible to anyone you share the link with, and to anyone that person in turn shares it with. Please only share your passport link with landlords, letting agents, or other parties you trust and intend to grant access to.
9 Zero-Disclosure Policy
We will never share your documents or application data with any landlord, letting agent, or other outside party on our own initiative, other than the processors (such as our payment provider and, where AI-assisted document verification is used, our AI provider) described in our Privacy Policy, who act only on our instructions to help us deliver the service to you. You are always in control of your own data — outside of Ready2Rent and those processors, it is only ever seen by someone if and when you personally choose to generate and share a passport link with them (see Section 8). If a landlord or anyone else asks us directly for access to your data, we will not disclose it; we will direct them to ask you instead.
10 Your Rights — Isle of Man Data Protection Act 2018
Under the Isle of Man Data Protection Act 2018, you have the right to:
- Access the personal data we hold about you
- Rectify inaccurate data
- Erasure — request deletion before your passport expires
- Restrict processing in certain circumstances
- Object to processing
- Portability of your data in a machine-readable format

11 Limitation of Liability
We provide this service on a reasonable-endeavours basis. We are not responsible for:
- A landlord's decision to accept or reject a tenancy application
- Delays caused by referees not responding
- Any loss arising from the legitimate expiry and deletion of your data when your passport expires
Our total liability to you in connection with this service shall not exceed any fees paid by you in connection with your application.

13 Changes to These Terms
We may update these terms from time to time. The version in force at the time of your submission governs your application. We will not retroactively change the retention period for an existing application.
14 Governing Law
These terms are governed by the laws of the Isle of Man. Any dispute shall be subject to the exclusive jurisdiction of the Isle of Man courts.
